Position Summary
Our Director of Estate Planning and General Counsel is looking for a high performing individual committed to growing their legal career by supporting the demands and opportunities associated with a dynamic high-growth financial advisory firm. The selected candidate will be deeply rooted in the department’s success and will provide high level legal and administrative support to deliver a great client experience. As primary gatekeeper and administrator, the overall responsibility of the Associate is to keep the Director focused on strategic priorities. Associate will be executing administration, meeting preparation and effectiveness, and implementing priories and special projects.

This candidate will partner with nearly every department across the firm to execute client requests, and ignite client service integration across all parts of the organization. Associate will be responsible for facilitating all tasks in a manner consistent with firm standards and developing an excellent working relationship with Client Service Associates as a trusted point of problem resolution. This position requires more than an ability to complete directives provided by the Director. It demands a thoughtful and strategic self-starter with a drive to deliver exceptional results through optimized processes and systems. As a right-hand partner, the Associate serves as an extension of the Director and represents him with high-quality service and performance.

What You'll Do Once Here
  • Manage an active calendar of meetings, events, and appointments
  • Coordinate and plan all meeting details including securing a conference room, catering needs, IT and media needs, and other arrangements
  • Direct incoming emails and calls, contact management, coordination and preparation for meetings
  • Manage the executive's email inbox to ensure prompt attention, responsiveness, and follow-through
  • Arrange and coordinate travel arrangements for occasional travel
  • Act as a liaison between executive and colleagues to address questions and needs pertaining to the executives’ work
  • Actively create, refine and monitor beneficiaries on client accounts
  • Work with outside counsel to draft and implement estate plans
  • Meeting preparation across all advisors within the firm
  • Draft estate planning documents including deeds, assignments, powers of attorney, LLC formations, crummey notices, health care documents and any other related document preparation
  • Assist marshalling, organizing and analyzing asset information
  • Valuation of assets and strategize allocation to sub trusts
  • Preparation of inventories, asset allocation agreements, and asset transfer documents, Notary services
  • Assist in correcting errors/corrections/changes from signing meetings on legal docs
  • Scan executed documents
  • Continuously improve administrative standards
  • Work closely with other colleagues and associates to design and implement improved processes and operational policies
  • Collect data and documents
  • Participate in calls and meetings
  • Keep all aspects of CRM (Client Relationship Management system) up-to-date
  • Create and maintain paper and online files for clients
  • Coordinate special requests and projects
  • Work directly with client’s other preferred professionals to inquire about, resolve, or facilitate client requests
  • Ensure Service standards are being exceeded at all times when answering and responding to in-bound client requests
  • Learn and adapt to new software and technology, as rolled out by our innovation team
  • Expand professional development by pursuing CFP® certification shortly after start date, if not designated at time of hire
  • Actively engage in available training and education programs
Relevant Experience and Mindset
  • A bachelor’s degree from an accredited college or university
  • A paralegal certificate from an ABA – approved program is a plus
  • Successful candidates will combine rigorous service acumen across many of the following areas, along with impressive depth in one or two: estate planning, LLC formation, CLE management, EP deliverables, beneficiary reviews, crummey notices
  • Experience in client-service or professional service role
  • Record of success in improving processes
  • Excellent project management skills
  • Demonstrated ability to meet deadlines, handle and prioritize simultaneous requests, and manage lateral and upwards
  • Experience with a CRM database is appreciated (e.g., Salesforce)
  • Emotional maturity, professional mindset, and the utmost discretion
  • Minimum of 2-5 years related experience being a high-achiever with a reputation for being a rockstar that gets things done (preferably EP/transactional law firms)
  • Strong communication skills, both written and verbal
  • Proficiency in all areas of Microsoft Office and Apple iOS mobile; must be very tech savvy United States work authorization
